What the day looked like before
- Every morning opened with 40 to 60 client emails: appointment changes, prescription questions, post-visit worries.
- Replies were written from scratch each time, so tone drifted between staff and simple questions still took four minutes each.

We wrote a single ROLE / CONTEXT / CONSTRAINTS / OUTPUT scaffold for client email, with a hard rule against inventing prices, dates, or medical advice, and a [CHECK] marker for anything uncertain.

Put it in the inbox
The scaffold became a saved reply inside the mail client already in use. No new login, no second app for the front desk to remember.

Drafts before the day starts
Triage plus drafting runs over the overnight queue, so the team opens a folder of drafts to approve rather than an empty compose window. Nothing sends without a human clicking send.

One template per repeat task
Visit summaries, prescription follow-ups, and no-show follow-ups each got their own template. The set is reviewed monthly: what got used, what got rewritten, what got retired.
